Guest lists and RSVPs

Keep track of everyone you want to celebrate with. Add your guests, organize them with tags, and let them RSVP to your events right from your site.

Adding guests

Your guest list lives inside each site. To start adding guests, open your site from the dashboard and click Guests in the sidebar.

  1. 1Click the “Add Guest” button at the top of the page.
  2. 2Fill in their Full Name (this is the only required field).
  3. 3Optionally add their email, phone number, and mailing address.
  4. 4Note any dietary restrictions (like “vegetarian” or “nut allergy”) so you can plan ahead.
  5. 5Use the Notes field for anything else you want to remember about this guest.
  6. 6Click Save, and they are on the list!

You do not need everything right away

The only required field is the guest’s name. You can always come back and add their email, phone, or address later when you have it.

Organizing with tags

Tags let you group your guests however makes sense for you — “Family”, “Friends”, “Work”, “Book Club”, you name it. They become really powerful when you combine them with access control or event visibility. Access control guide

To create and manage tags, click the “Manage Tags” button on the Guests page. This opens a collapsible section where you can:

  • Create a tag — Type a name and pick from 10 color options (red, orange, yellow, green, cyan, blue, purple, pink, gray, and teal).
  • Edit a tag — Click any existing tag pill to change its name or color.
  • Delete a tag — Click the X on a tag. It will be removed from all guests who had it.

Once you have tags, you will see them as selectable pills when adding or editing a guest. Each guest can have as many tags as you like.

Finding guests quickly

As your list grows, the search and filter tools at the top of the page help you find who you are looking for instantly.

  • Search — Type any part of a guest’s name or email to narrow the list.
  • Sort — Toggle between A-Z and Z-A ordering.
  • Filter by tag — Use the tag dropdown to show only guests in certain groups. You can select multiple tags at once. A “Clear filters” button appears when any filter is active.

When a filter is active, the page shows “Showing X of Y guests” so you always know how many results you are looking at.

RSVP tracking

When you create an event with RSVPs enabled, your guests can respond right from your site. You can track every response from the RSVPs page in your site dashboard.

The RSVPs page shows:

  • Tabs for each event — If you have multiple events, switch between them to see who responded to which.
  • Response counts — A summary of how many guests said attending, declined, or maybe.
  • Guest details — Each RSVP includes the guest’s name, email, their response status, any dietary restrictions they mentioned, and any message they left.
  • Plus-one counts — If you enabled plus-ones for an event, you will see how many extra guests each person is bringing.

Set an RSVP deadline

You can set an RSVP deadline when creating your event. After the deadline passes, the RSVP form automatically closes. This is great for getting a final headcount in time for planning.

What your guests see

When a guest visits your site and goes to an event page, they will see a simple RSVP form. Here is what the experience looks like for them:

  1. 1They choose their response: Attending, Maybe, or Declined.
  2. 2They enter their name and email.
  3. 3If you enabled plus-ones, they can indicate how many additional guests they are bringing.
  4. 4They can add any dietary restrictions or leave you a personal message.
  5. 5They check a small consent box and submit.

If guest sign-in is enabled on your site, the guest’s name will be filled in automatically, so they do not have to type it again.

RSVP deadline

If you set a deadline, guests who visit after it passes will see a message that RSVPs are closed. Make sure to set a deadline that gives you enough time to plan but also gives your guests enough time to respond.

Controlling who sees which events

If you have set up guest tags, you can control which groups of guests see each event. When creating or editing an event, look for the Visibility setting at the bottom of the form.

  • Everyone (default) — All visitors can see the event.
  • Specific tag groups — Only guests with matching tags will see the event on your site. Everyone else will not know it exists.

This is perfect when you are hosting separate events for different groups — like a family-only gender reveal and a friends baby shower. Each group only sees the events meant for them.

Guest sign-in

For an extra layer of personalization, you can require guests to sign in when they visit your site. This way, Biraea knows who they are and can tailor the experience — auto-filling their name on forms and showing them only the content meant for their group.

To turn it on, go to the Guests page and toggle “Require Guest Sign-in”. When enabled:

  • Guests search for their name when they first visit.
  • They create a simple password the first time (or log in if they have visited before).
  • Their name auto-fills on RSVP forms, meal train sign-ups, and other forms.
  • They only see pages and events that match their tags.

Add your guests first

Make sure you have added your guests to the list before enabling sign-in. Guests can only sign in if their name is already in your guest list.

Tips

Dietary restrictions save the day

Even if you do not think you need them now, adding the dietary restrictions field to your guest list early means you will have all the info you need when planning food for events or the meal train.

Tags are your best friend

Start simple — “Family” and “Friends” cover most cases. You can always add more specific tags later as your plans take shape.

Keep guest info up to date

You can edit any guest at any time by clicking the pencil icon next to their name. Address changed? New phone number? Just update it right there.
